While you're using the desktop application you can easily access the Handbooks module by finding it in the left-hand side menu under the "Help and Information" heading.
Once you've clicked the Handbooks button you'll be greeted by a list of all the Handbooks that you've been given access to. Simply click on the handbook you're interested in and navigate to the chapter relevant to you.
How to Create a New Handbook
The first step in adding a new handbook to the collection is to click the "New handbook" button.
You'll then be faced with a a setup window which will allow you to give the handbook a title, write an introduction and set the permissions for the handbook as a whole. Additionally, you'll be able to choose whether or not you'd like to publish the Handbook right-away. You choose this by flipping the switch next to "Published". If it appears blue the handbook will be published.
How to Create a New Chapter
Before you can add a new chapter to a handbook you'll have to enter the handbook in question by clicking on it. As soon as you're inside your desired handbook you either click the "+" sign or the "New chapter" button to begin adding a new chapter. Following this a setup window will appear which will ask you to give the chapter a title and to decide what user types should be able to find it.
A nifty feature you can take advantage of if you want your chapter to have the same permission settings as the handbook as a whole, is the "inherent permissions from parent" option. If you toggle this option on the chapter will automatically be accessible to anyone who has access to the handbook in general.
In addition to creating a whole new chapter you can also create a sub-chapter by clicking on the "+" sign next to the title of the chapter which appears when you hover over the chapter in question.
How to Add Content to a Chapter
Prior to your handbook having any chapters, the only content you can add to it is your introduction, which will appear on its front page. The first step to start adding further content is to locate and press the "edit page" button in the top right-hand corner.
You can now add a new paragraph by pressing the "new paragraph" button. This will open a text-edit window which will allow you to write your paragraph. Furthermore, you'll be able to add files such as illustrations, videos, and documents for others to view and/or download. You can, for example, embed a YouTube video in your paragraph by pasting a link to it in it. Additionally, you could include a download link for others to click in order to download a certain document.
When you're done with your edit simply click the "stop editing" button which is located where you previously found the "edit page" button.
How to Edit or Delete a Handbook
Should you wish to either make changes to the handbook itself (e.g. edit the headline or change who has access to it) you can do so by first selecting the handbook from your list and heading to its front page. Once there, find the the "edit" button in the top right-hand corner. This will prompt a set-up window very reminiscent of the one that was used when the handbook was first created. You can now amend the general settings or choose to delete the entire handbook.
How to Edit or Delete a Chapter
The process of either editing or deleting a chapter is very similar to the one you have to complete when editing or deleting an entire handbook.
First, you'll have to select the chapter in question from your list of chapters and open it. Following on from this you'll have to click the "edit page" button in the top right-hand corner. Finally, you'll simply have to select the text-box in which the chapter title is displayed. This will open up the same set-up window you've used earlier when creating the chapter. At this point you'll be able to either make changes to the chapter or choose to delete it by pressing the red "Delete" button in the bottom left-corner of the window.
How to Edit or Delete Paragraphs
The handbooks module also allows you to change the order of the paragraphs within a given chapter. To do this simply head on over to a given chapter in a given handbook and click "edit page" in the top right hand corner.
Once you have done this you will notice some new buttons in the top right-hand corner of each of your paragraphs. Either you will only see an "x" button or you will see one or two arrow buttons. These arrow buttons only appear if your chapter has several paragraphs.
Pressing the down arrow, for example, will move the paragraph below the paragraph that follows it, i.e. it will switch the paragraph and the one below it.
Pressing the "x" button will prompt a message which asks you whether or not you are sure you want to delete this paragraph. If you are, simply click yes and the paragraph will be deleted.
Permissions and Hierarchy
An integral feature of Ziik's infrastructure is its permissions system which allows it to tailor the available content to any given user type. You can utilise the permissions feature and Ziik's hierarchy when creating or editing handbooks by employing it to decide which units and which user types you want to be able to see the content you're adding. This works for entire handbooks as well as for individual chapters.
Now that you've gained an understanding of how the Handbooks module works, a good next step would be to read our best practice article regarding it How to strengthen the organisational culture using Handbooks which will explain you how to best utilise it.
In Ziik, the Handbooks feature is supplemented with an FAQ feature, allowing you to have distinct locations for different kinds of guidelines. We'd therefore also like to recommend you to read our FAQ article How does the FAQ work to understand how it works and what role it plays next to Handbooks.
